My child will be a new student at Shawnee in September. When and how do I register for a fall sport?

In early summer, beginning typically on the second Monday in July, we will open our fall registration portal.  All student athletes must be registered in advance for the sport which they want to play.  These registrations will be made through your parent portal of Genesis, our student information system, under your "forms" tab.  Through that portal, you, as the parent, will choose the sport which your child wants to play, and you will be required to enter contact and emergency information, student health information, as well as health insurance and health provider information.  You will also be required to view and acknowledge that you have read and understand the terms and conditions of various items.  Please note, we open our sports registrations on a seasonal basis, so you will have to re-register your child each season (fall, winter, spring) depending on the sport.

To join the Shawnee Marching Band:

Any students interested in joining the Shawnee Fall Marching Band must contact the Marching Band Director, Ms. Pam Czekay at pczekay@lrhsd.org.  Your information will be received by our Marching Band Director, who will then share with you all pertinent information regarding parent meetings, first day practices, and the summer schedule.

Are there specific due dates to register or submit paperwork?

Yes!  Fall sports registration typically open the second Monday in July.  Physicals should be submitted as soon as possible, and we suggest no later than two weeks before the start of the season.  Most fall sports begin in the month of August.  Your coach should be able to give you exact deadlines for registrations, submission of participation fees and due dates for physicals, as these dates can change year to year, and season to season.

Are annual physicals required to play a sport?

Yes.  Health Physical Evaluations (completed by both parent and doctor) are required yearly.  The Health Update Questionnaire (completed by parent only) is required for each sports season.  As soon as the school year is over in June, we strongly encourage new incoming parents to begin the process of submitting health physical paperwork.  Health physical paperwork must go through a clearance process that can take up to 7-10 days.  Students are not allowed to participate in any sport until their health physical paperwork is cleared.  Due to the high volume of paperwork received, we cannot guarantee eligibility for first-day play if your child’s physical is not submitted in a timely manner.  We make no exceptions to the policy of health physical clearance. Your advanced preparation now will eliminate unnecessary stress and anxiety for you and your child later.

Are there special forms required for annual physicals?

Yes.  All annual physical exam documentation results must be submitted on the required forms issued by the State of New Jersey, which can be downloaded and printed via these links:

Link:  NJ State Preparticipation Physical Yearly Evaluation Form

Link:  NJ State Health History Update Questionnaire.

**Freshman Students (Incoming for fall sports only):  If your child had their annual physical during their 8th grade year, (only if the date of that appointment was on/after August 12, 2024 for Football and Tennis, and on/after August 19, 2024 for all other fall sports,) then all you need to do is provide your child's physician with the NJ State Physical Yearly Evaluation Form (per the link above), and ask the physician to complete the form based on that last visit.  If this situation applies, you can then drop the paperwork to our main office as soon as your child has officially graduated from 8th grade.  You will also need to submit the Health History Update Questionnaire at the same time as well.

How do I know if my current physical exam paperwork is valid?

Annual physical exams are valid for only 365 days.  Please visit our Health Physical Requirements page with details on which forms you need to submit and when those forms need to be dated by your physician in order to be valid.

When should I submit my child’s physical paperwork?

As soon as possible!!!  Especially for incoming students participating in sports for their first year at Shawnee, we strongly encourage the submission of valid physical paperwork immediately, whether or not they will participate in the fall, winter or spring seasons.

Where do I drop off my child’s physical paperwork?

All physical paperwork should be dropped off at the main office of Shawnee High School.  There is a bin marked “trainer,” and the paperwork should be left in that bin.  There is a clipboard located next to the bin, and we ask the person who drops off the paperwork to sign and date the form on the clipboard.  Please drop off originals only, do not fax or email.

What are your summer office hours?

Summer office hours are Monday through Thursday, 7:30 a.m. to 4:00 p.m.

I dropped off my child’s physical this morning. Why is my child being told that he/she cannot practice or participate today?

Once received, physicals must go through a clearance process which can take anywhere from 7-10 days.  Paperwork is reviewed and approved by the school’s Athletic Trainer as well as the Shawnee school physician. Students with expired forms, or forms which have been received but not approved by the school physician will not be permitted to try out, practice, or play.  Athletes are not automatically cleared to play the same day on which their physical is submitted.……there are no exceptions to this clearance policy.

Throughout the school year, and especially during the weeks just prior to a new sports season, we can receive hundreds of physicals on any given day.  To avoid any delays with your child's paperwork, please submit the required forms AS SOON AS POSSIBLE – please do not wait until the first day of practices!  The earlier we receive your child’s paperwork, the better!

Is there a fee to play sports (or join an activity)?

Yes, the Lenape Regional High School District assesses an extra-curricular participation fee for athletic sports which requires a board of education paid coach AND the submission of a health physical.  The athletics participation fee is currently assessed at $300.00 per student.  This is a one-time fee which covers participation in unlimited sports (and activities) for the entire school year.  Students CANNOT try out or join a team until this fee has been paid.  Participation fees are waived for students who receive free/reduced lunch.  Hardship waivers are also available. (Please contact the Athletics Office with questions regarding waivers.) Participation fees are also submitted through School Cash Online beginning August 1st for the upcoming school year.  Your child will not be able to participate in athletics or activities until the fee is paid.  Click here to access the SchoolCashOnline electronic payment system.

Do coaches make cuts?

Sometimes, depending upon the number of students trying out for a team, cuts will be necessary.  Teams that historically do not make cuts to their program include football, boys/girls cross country, wrestling, boys/girls bowling, boys/girls winter and spring track.

If my child does not make a team, can they participate in another sport?

Yes, if your child has tried out for a team and is cut, they can contact another coach and make arrangements to try out (if applicable) or to simply join the new team if try-outs are not required.

What happens to the participation fee if my child does not make the team and does not want to participate in another sport?

The participation fee is non-refundable unless the student is cut from the athletic/activity roster and does not participate in any other athletic/extracurricular activities for the remainder of the school year. A refund request form must be completed and submitted by June of that year or the fee will be forfeited.  Forms are available in the high school athletics office.  Refunds will be issued over the summer, after all the student's obligations have been fulfilled. Any outstanding student obligations will be deducted from the refund at that time. Students who voluntarily drop out of an activity will forfeit their fee.

Payment of the Athletic and Extracurricular Activity Participation Fee does not guarantee position, role, or playing time. It does not guarantee the student or his/her parents, guardians or family control over any conditions, guidelines or policies regarding the team or activities.

How can I contact a coach?

Email is the best method of communication as most of our coaching staff teach during the day and are unable to speak on the phone during class time.  A complete listing of our sports programs, coach names and contact email addresses are listed by season as follows:

Fall Sports:  www.lrhsd.org/shawneefallcoaches
Winter Sports:  www.lrhsd.org/shawneewintercoaches
Spring Sports:  www.lrhsd.org/shawneespringcoaches

How do I find out about team parent meetings?

Many coaches use social media (Twitter, Facebook, Team Websites,) to publish this information.  The Shawnee Athletics Department also manages a Twitter feed, (@SHSRenegades) and for students already in the building, meetings are announced during the school day.  We suggest that you email the coach directly and ask them to add you to their contact lists!

Where do I find my child’s team schedule and the most up to date information in case of weather or schedule changes?

You can find a daily listing of our sports events, start times, and location (home/away) on our website: www.lrhsd.org/shawneegames.  You can also check out our Twitter account at https://twitter.com/SHSRenegades

Does Shawnee offer late bus transportation?

No, Shawnee does not offer late bus transportation.

Do I have to purchase a team uniform?

No, Shawnee High School provides uniforms for our athletes.  However, a coach may require that a certain style or color of sneaker be purchased.  Additional personal equipment or protective items (i.e., shin guards, field hockey/lacrosse sticks, etc.) are the responsibility of the student athlete.

Does the Athletics Office sell Shawnee logo clothing?

No, the Athletics office does not sell clothing with the Shawnee logo.  However, the Shawnee school store supplies many different “Shawnee” items.  This includes sweatshirts, sweatpants, t-shirts, scarves, jackets, hats, socks and bags if you or your son/daughter would like to purchase and wear Shawnee gear!  Many of our sports teams also run fundraisers and sell clothing items throughout the year.

What if my son/daughter loses their uniform?

Athletes are responsible for the care and upkeep of uniforms during the season.  We expect uniforms to be returned clean and without damage.  If a student loses a uniform, regardless of the reason, there will be a charge assessed to the student's account for the current cost of replacement.
